Events and Production Assistant

Position Overview

The Alliance for Health Policy seeks an organized and proactive Events and Production Assistant to support our production and program teams. This role is critical in ensuring the seamless production of educational in-person and virtual events, delivering on our core value of quality convening an excellent experience.  The ideal candidate will bring strong technical and communication skills and a passion for event production and creating the ideal audience experience. This position offers the opportunity to work closely with experts and stakeholders in the field, playing a vital role in content production support, audience engagement, and event logistics.

This position reports to the Director of Development and Production. Applications will be reviewed on a rolling basis until the position is filled.

Key Responsibilities:

  • Event Production & Logistics:
    • Support the planning, setup, and execution of virtual and in-person events, including webinars, panels, and briefings.
    • Coordinate vendors and contractors related to event production and design including catering, audio-visual, venues, etc. to meet stated event and program goals and track against program budgets.
    • Coordinate and manage virtual event platforms (e.g., Zoom, GoToWebinar) and assist with troubleshooting technical issues during live events.
    • Assist with the development of logistics memos, run of shows, and other execution materials. 
    • Coordinate event logistics such as speaker coordination, scheduling rehearsals, and on-site setup.
    • Support and create on-site materials including print and digital assets. 
    • Contribute to team Monday.com board, contribute to event goals, finalize workplan items and track status, participate in team coordination meetings 
  • Recruitment:
    • Send and manage invitations to events, including panelists, working group members, and audience participants. 
    • Assist in recruiting, inviting, and coordinating panelists, experts, and guest speakers for Alliance events.
    • Coordinate the tracking of RSVPs for programs. In coordination with the program manager, clarify invitation goals. Report on progress to goal for expert, panelist, and audience recruitment. 
    • Support the creation, of and sharing of post-event” thank you” materials for the Alliance audience.
  • Administrative & Project Management Support:
    • Create reports of event and program evaluations, along with attendees, quotes, and survey results for funder reporting and to improve future programming design. 
    • Maintain event calendars, production schedules, and internal communication channels.
    • Coordinate project timelines, track deliverables, and ensure deadlines are met.
    • Provide administrative support as needed, such as scheduling meetings, managing vendor relationships, and organizing internal documents.

Qualifications:

  • Education: Associate or Bachelor’s degree in communications, journalism, digital media, public relations, or a related field, or equivalent experience.
  • Experience:
    • At least 1-2 years of experience in event production, public relations, or other relevant field.
    • Experience with virtual event platforms (Zoom, Microsoft Teams, etc.)
    • Experience in outreach and engaging with expert speakers or panelists is a plus.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. 
    • Basic knowledge of CRM tools (e.g. HubSpot, Salesforce, etc.)
    • Basic knowledge of cloud-based tools to support content creation (e.g., Canva, Adobe Photoshop) and project management (e.g., Monday, Airtable, Asana)
    • Familiarity with analytics tools and social media platforms for audience segmentation.
  • Soft Skills:
    • Strong organizational skills with exceptional commitment to quality in work.

    • Excellent communication skills, both written and verbal, with the ability to engage and build relationships.

Compensation and Benefits:

Salary range: $47,000-$55,000. Our outstanding benefits package includes:

  • Platinum-level medical, and dental and vision insurance with 80% employer-paid premium subsidy for employees and 50% subsidy for family members

Location and Working Arrangements

This full-time position in downtown Washington, DC, offers hybrid and in-person work arrangements. A minimum of two days of in-office work is generally expected per week, with additional in-office days prior to events. In our hybrid workplace, we rely on a variety of tools like Monday.com and HubSpot to manage programs and communities effectively, ensuring continuity and coordination across our teams.
