Hiring: Coordinator, Board & Expert Community

Position Overview

This position manages and supports our Board and contributing expert activities. This role is essential in ensuring effective communication and engagement between the organization’s leadership, contributing experts, and the broader community. The successful candidate will have a demonstrated track record of strong relationship management along with a service mindset. 

Key Responsibilities:

Board Coordination

  • Serve as the primary point of contact for Board members, facilitating communication and engagement.
  • Organize and coordinate 2-4 Board meetings, 16+ committee meetings and Board dinner events, including scheduling, agenda preparation, material distribution, and minute-taking.
  • Assist in the onboarding process for new Board members, ensuring they are well-informed and integrated into the organization.     
  • Serve as a resource for Board members with questions, forwarding them to the appropriate resource.      
  • Manage Board-related documentation, ensuring records are accurate, up-to-date, and accessible.

Contributing Expert Management

  • Contribute to identifying and recruiting knowledgeable and influential experts to participate in Alliance events, setting up meetings, taking notes, sharing follow ups. 
  • Working with Director, identify expert participant ideal journey for relevant program, and create workplan for meeting participant needs.
  • Own and complete workplan outcomes related to the contributing expert journey, including:
    • Draft and send invitations and gather relevant information from speakers 
    • Lead the participant preparation process, including drafting prep materials, scheduling and leading prep calls, and managing all communications throughout process
    • Coordinate with team to draft and promote event webpage, registration forms, and other materials 
    • Coordinate with travel agent and participants arrangements for participants as needed
    • Support cross-team coordination to ensure seamless planning, preparation, and event execution experience
  • Evaluate the success of speaker participation experience through metrics such as net promoter scores, post-event surveys, and provide insights for continuous improvement.

Community Engagement

  • Foster relationships with stakeholders, and Alliance contributing experts to support ongoing engagement and high reputational equity among this group.
  • Facilitate community feedback and input on health policy issues, ensuring diverse perspectives are represented.
  • Support the development and implementation of contributing expert outreach and community management initiatives.
  • Demonstrate excellent judgment in effectively communicating and managing relationships with senior-level officials and experts.

Event and Engagement Coordination

  • Plan and execute events involving Board members and contributing experts, including public forums, panel discussions, and community outreach activities.
  • Ensure logistical arrangements are in place for events, including venue setup, travel arrangements, and material preparation.
  • Support the team in developing event content and ensuring effective execution.
  • Contribute to cross-functional planning meetings, including goal setting, role identification, milestone planning. 

Communication and Reporting

  • Develop and maintain a communication plan to keep Board members and contributing experts informed about organizational activities, upcoming events, and relevant news.
  • Prepare reports and updates for Board meetings and other key stakeholder engagements.
  • Assist in the creation of communication materials, such as newsletters, briefing documents, and press releases.

Qualifications:

  • Bachelor’s degree or equivalent experience in communications, public relations, nonprofit management, or a related field.
  • At least 3 years of experience in coordinating speakers bureaus, opinion leader engagement, board management, or a related role, preferably within a nonprofit organization.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse and executive level stakeholders.
  • Excellent relationship management acumen, and/or deep client/member services experience.
  • Experience in event planning and execution, with a proven track record of managing successful projects and events.
  • Ability to work collaboratively in a fast-paced environment and adapt to changing circumstances.
  • Demonstrated track record of strong relationship management along with a service mindset. 
  • Proficiency in using communication and project management tools, such as Microsoft Office, Slack, Monday.com and HubSpot.
  • Commitment to the mission and values of the organization, including nonpartisanship, and integrity.

Compensation and Benefits:

Salary range: $60,000-$66,000. Our outstanding benefits package includes:

  • Platinum-level medical, and dental and vision insurance with 80% employer-paid premium subsidy for employees and 50% subsidy for family members

Location and Working Arrangements

This full-time position in downtown Washington, DC, offers hybrid and in-person work arrangements, with a minimum of two days of in-office work generally expected. In our hybrid workplace, we rely on a variety of tools like Monday.com and HubSpot to manage programs and communities effectively, ensuring continuity and coordination across our teams.
